Buying a Heat Pump: From Supplier Selection to Handover

A heat pump purchase is a coordinated project, not just a delivery. Equipment, installation and support need clear ownership. Use this workflow to make expectations visible before paying or accepting the completed work.

1. Check the supplier’s relevant experience

Ask for examples similar to your building, climate and application. Establish whether the company supplies equipment only or also manages installation. Verify the qualifications and insurance appropriate to the work and your location. Ask who will provide service locally; a distant reference project does not establish local support.

2. Resolve questions before ordering

Confirm the exact model, design brief, expected operation, delivery date and installation responsibilities. Ask what remains uncertain and when it will be resolved. For commercial projects, request a separate review of peak demand, downtime and any redundancy requirement.

3. Put the scope in writing

Record equipment, accessories, installation boundaries, payment milestones and acceptance criteria. Define how delays, substitutions and extra work are handled. Keep warranty coverage and maintenance obligations explicit. Check mandatory consumer protections and contractual requirements locally; this checklist is not legal advice.

4. Follow installation without doing technical work yourself

Agree progress checkpoints and request records of concealed work where relevant. Ask the installer to confirm that mounting, pipe insulation, drainage, electrical work and model-specific safety requirements have been checked. Do not open electrical or refrigerant systems yourself.

5. Accept more than a successful startup

Request commissioning records, settings and a demonstration of heating, hot water and cooling where included. Record test conditions: a warm-day demonstration cannot prove winter performance. Agree how conditions that cannot yet be tested will be checked later. Energy Saving Trust’s installation guidance points customers to planning and installation checklists.

6. Make support actionable

Get a named contact, reporting channel, service area and written response arrangements. Distinguish an initial response from an on-site repair commitment. Ask about parts availability and charges outside coverage. Learn normal operation, permitted user maintenance and when to call a professional.

Procurement and handover checklist

  • Approved design, exact model and supply scope saved.
  • Responsibilities, payment stages and additional-work process documented.
  • Installation and commissioning records received.
  • Included functions demonstrated; outstanding tests recorded.
  • Manuals, warranty documents and maintenance schedule provided.
  • Fault-reporting contacts and unresolved items listed with owners and dates.

Keep the documents together for future servicing. Contact Thermovo to clarify your equipment requirements and supply responsibilities before ordering.

This checklist helps define a request; it is not a model performance claim, installation design or promise of availability.
